Using the POS
Staff sign-in, taking orders, checkout, shifts and the daily report
Open the POS
The POS uses the same menu and tables as your dashboard, so set those up first (see the “Menu Setup” and “Tables & QR Codes” guides). You can open it in two ways:
- Web: Sign in to the dashboard and click “POS” at the bottom of the sidebar. The POS opens in a new tab.
- iOS app: Sign in to the app with the same account to use the POS. In the app, “POS Settings” lets you connect a Bluetooth or Wi-Fi printer and print locally.
The web POS has no printer settings. If you need receipts or kitchen tickets printed, use the iOS app.
Staff sign-in
Owners just sign in to the dashboard. For cashiers, create staff accounts. Staff accounts need the Growth plan or above (Growth allows up to 3 staff, Pro is unlimited; B&Bs and campgrounds need Pro; the 30-day trial includes them).
- Go to Dashboard → “Team” → “Staff” and click “Add Staff”.
- Fill in “Name”, “Staff ID” and a password, then choose “Cashier” under “Role” (the cashier role only gets order permissions by default).
- After saving, the staff member's sign-in details are shown (Store code, Staff ID and Password). The password is shown only once, so copy it or tell the staff member right away.
- The “Staff sign-in info” card on the same page shows your “Store code”, which is the same as your short URL. If none is set yet, you can generate one with a click.
- On the sign-in page, staff choose “Staff”, enter the “Store Code”, “Staff Code” and password, then click “Staff Login”.
Taking an order
- Tap items in the menu area to add them to the “Order tab”. Items with options open an option picker first, and the search box helps you find items quickly.
- For dine-in, pick the table in the table drop-down. For takeout or walk-in customers, leave it on “Takeout”.
- Add an order note if needed, or click “+ Add discount” to apply a discount (a percentage or a fixed amount, with a name of your choice).
- For a member, enter the store member number, phone number or member-center DD short code under “Member lookup”. If the member has a stored balance, checkout adds a “Member balance” option.
- Check the order, then click “Checkout” to open the payment screen.
Payment and invoices
The payment screen offers these payment methods:
- Cash: Enter the amount received on the keypad (or tap a quick amount or “Exact”) and the change is calculated for you.
- Card, LINE Pay, Scan & pay: The web POS only records which method the customer used; it does not charge cards for you. Collect the payment with your own card terminal or payment code, then click “Confirm paid”.
- Member balance: Only shown when the member has a stored balance. You can deduct the balance first and collect the rest with another method.
If your store is in Taiwan and you have turned on e-invoicing under Dashboard → “System” → “E-Invoice”, the payment screen also shows an “Invoice carrier” section where you can choose:
- Paper invoice: The default; no number is needed.
- Mobile barcode: Type it in, or click “Scan” to scan with a barcode scanner. The format is “/” plus 7 characters.
- Business tax ID: Enter the 8-digit tax ID; the company name is optional. An invoice with a tax ID must be printed on paper for the customer.
The carrier details are saved on the order, and are filled in automatically for members who have a carrier on file. Invoice issuing and provider setup are handled on the “E-Invoice” page.
Shifts and the daily report
- At the start of the day, click the status in the header (it shows “Closed”), enter the “Opening cash” and click “Open shift”.
- If you start a checkout before opening a shift, the POS asks you to open one first, so every payment is counted in that shift's cash-up.
- At the end of the day, click the same status (it shows “Open”) to open “End shift”. It lists the shift's cash, card and other sales. Enter the cash you counted and the POS shows whether it is Balanced, over or short.
- When it looks right, click “Confirm close shift”.
These buttons in the header are handy during service:
- Orders: Today's orders. Update their status here, or refund them in full or in part.
- Today: “Today's summary”: a quick look at today's revenue and order statuses.
- Tables: “Seating board”: see which tables are in use and switch to a table to order.
- Z-Report: “Z end-of-day report”: revenue, a payment-method breakdown, discount and refund totals, hourly distribution and top sellers.
In the dashboard, and plan limits
- In the dashboard: Orders rung up on the POS are stored like online orders: they appear under “Orders” and count toward the “Sales Report”.
- Plans: Every plan can use the POS, and POS orders count toward the monthly order limit: 30 on Free, 300 on Starter, 1,200 on Growth and 5,000 on Pro.
- Trial and expiry: New accounts get a 30-day trial. When a trial or plan ends, the store moves to the Free plan automatically and keeps running, with a limit of 30 orders per month.
When the monthly limit is reached, the POS shows that the monthly order limit has been reached, and you need to upgrade your plan to keep ringing up orders.
